With our team having worked on projects at Otumoetai Primary, Tauranga Primary, Tauranga
Intermediate and Mt Maunganui Intermediate, we are well versed in Ministry of Education
procedures and we know what it takes to build an effective project team for a new school building
project (from relocation, to remedial works to new buildings).
Building a Team
Within a school environment, there are a number of key stakeholders and all must have a voice,
with the Project Manager’s role being to champion such diversity of thought and create a clear
pathway for the project.
Building a Vision
In recent years, the idea of traditional school design has been abandoned with Boards of
Trustees exploring new opportunities and ideas. As such, when working alongside a school,
we do not assume to know what the Board of Trustees knows with regards to its own school
requirements. And so we listen. We spend time at the school with the Principal and/or Board
of Trustees to learn the functional requirements of the complex/facility. While we put the “physical” form to the complex/facility, the client should always define the actual form its
structure takes on.

How we work alongside schools
In this section of our Company Profile, we outline what we do and how we work. Please note
that some clients choose to use our services across the board, while others select aspects of our
service to complement their own in-house skills.

Our Management Systems
A) Systems
Project Management
- IPMS data entry provides a breakdown of invoices into areas of progress. This allows stage
monitoring of budget vs. spend.
- Accounting and budget management.
- MS Project – Scheduling of time and resources are programmed and monitored.
MYOB accounting system.
Training and development
- Project and resource scheduling and management to achieve optimum efficiencies.
- Changes in industry standards.
Health and safety
Ensure all partners and contractors have a Health and Safety plan and site procedure. That any
contact / visit to site is preceded by relevant induction courses.
Client Management
- Pre scheduled site meetings discussing design and progress.
- To minute all meetings /correspondence.
- Being sympathetic to the vision and dream while maintaining control and direction.
- To be the point of contact (hub) to all parties.
- Communication and site progress updates (text and photos) via or special personalised website

- Regular “Management Group” meetings i.e. Project Manager / School representatives.
Performance Management
Tracking, implementation of design and construction time / cost via programmes and systems outlined earlier.
Contract Management
Regular “Management Group” meetings i.e. PM/Head Contractor/ School BOT representatives.
Minute all such meetings and distribute.
Partnering
- IPMS have a strong team of experienced personnel we use as and when required. This means you only incur these costs if and when necessary.
Note: While we have many contacts established over many years, we have no fixed alliances or hidden agenda. We will always select the right people based on merit and what is best for each situation and for the client.

B) Quality Management
All stages of the project are inspected and must be signed off by Project Manager and
contractor. Inspections are aligned to:
- Inspections as set out in the building consent.
- Cost analyst software.
- Photographic records form part of this process.
Where specialist consultants are used
(such as Geotech or Structural Engineers), they will be required to sign off the said works.
C) Site Management Methodology
- Verify deliveries alignment to schedule (Gantt chart)
- Our systems are structured to align both program and deliveries. This enables us to correlate between the two which assists in budget analyst (cash flow) and site visit scheduling; that is, we are on site when it is required, maintaining efficiencies, ensuring we manage / monitor all critical phases.
- Q.S. check on quantities supplied vs. required.
- All variations priced and in writing.
- Regular site visits
- Photographic records.
- Maximise the use of the internet and fax.
- Site memos sent in written form based on:

Management Cost
IPMS rates are structured as follows - either:
- Hourly charge out rate
- Based on a percentage of project cost
- A contract price can be confirmed once the full scope and design of project has been established
